Vendor Quality Documentation Review Program
This program is a centralized, annual documentation review process designed to streamline the exchange of vendor quality and regulatory information across the eye banking community.
Vendors submit standardized documentation once per year, which is reviewed using published criteria. Upon completion, materials are made available securely to EBAA member eye banks.
This program is documentation-based only. It does not constitute vendor certification, endorsement, accreditation, or regulatory approval.
What This Means for EBAA Members
This program gives your eye bank access to a centralized set of vendor documentation that has been reviewed by an EBAA Quality Assurance Taskforce.
Instead of requesting the same materials from multiple vendors, your team can access documentation through a secure EBAA portal and use it to support your internal vendor qualification process.
What You Can Access
EBAA members receive:
- Vendor-submitted quality system and regulatory documentation
- This may include ISO Certification, federal/state licenses, last audit details, policies and procedures, cleaning procedures, records retention policy, QA manual, as well as a questionnaire about their QA program.
- A standardized documentation review summary
This information is intended to support your internal review and decision-making processes.
How It Supports Your Work
The program is designed to:
- Reduce duplicative documentation requests to vendors
- Improve consistency in how documentation is reviewed
- Save staff time on administrative follow-up
- Provide a reliable starting point for vendor evaluations
Important Considerations
Use of this program does not replace your eye bank’s responsibilities.
Each EBAA member eye bank remains responsible for:
- Vendor qualification and approval
- Review of Certificates of Analysis (COAs)
- Lot-specific verification and acceptance
- Compliance with FDA regulations (including 21 CFR 1271) and other applicable requirements
- Ongoing supplier oversight
